Internet Financial Aid Service As of July 1, 1998, Title IV schools no longer receive automatically USDE information via US Postal mail. This information includes most Dear Colleague Letters, Announcements, Federal Registers, etc. Instead, schools must have the capability to retrieve such documents through Information for Financial Aid Professionals web site. Given this regulation, DJA encourages all Title IV institutions to reread the Action Letter GEN-97-11 which provides details on this new regulation, including the required hardware/software requirements. Keep in mind, however, the ability to access this site, is not enough. In addition to accessing the site, schools will need to develop new procedures in their financial aid office to ensure they are in compliance with this new regulation. Questions such as: how often is the internet checked for new documents?, who will access them?, are the documents to be printed or downloaded?, how are the documents to be stored in the office?, if the documents are stored on an internal hard drive then are there backup procedures in place? are just a few of the questions that need to be addressed in the event of a program review or audit. DJA is pleased to offer a service, IFAS (Internet Financial Aid Service) to assist schools with this new requirement. For only $75 a month, schools can contract with DJA and receive the following: 1) printing out USDE documents (e.g. Federal Registers, Announcements, Dear Colleague letters) and 2) organizing documents by type and mailing them to the school. This fee does not include the Financial Aid Handbook and other manuals that are still being mailed to institutions. In addition, if the school is a DJA client, DJA will also assist with the internet requirement requiring schools to be on-line with Eligibility and Certification. For non DJA clients (e.g. not currently using DJA's EFAS) as a financial aid third party servicer), the fee for this service is only an additional $25 a month. DJA has found that, although many schools are connected to the internet and the World Wide Web, they do not have the time to search for these documents, download and/or print and organize them by type.
